Have you ever coordinated or attended an event where the guests simply didn’t want to leave?
That’s exactly what happened at a special dinner reception for a nonprofit organization I managed for a long-time client. Guests were having such a wonderful time talking and connecting with one another that they paid no attention to the fact that the tables were being quietly broken down around them.
The last dozen guests stayed nearly two hours past the scheduled end time.
For most event planners, that might sound like a logistical challenge. But to me, it was a clear indication of something far more important.
It meant the event had succeeded.

- At a celebration, guests gather to honor something important in someone’s life.
When people feel that shared purpose, something powerful begins to happen.

Creating opportunities for connection is not just a nice idea—it is supported by science.
Research in neuroscience shows that human beings are biologically wired to seek connection.
In her book The Bond, author Lynne McTaggart shares fascinating research about brain waves and human interaction. She explains that when people connect with one another, their brains actually begin to synchronize.
As she writes:
“Connecting with another person… causes the two brains to synchronize.”
Even something as simple as a touch offered with appreciation or kindness can cause another person’s brain to entrain, or align, with yours.
In other words, when people interact closely, our brains naturally begin to mirror and copy one another.
This is why conversations deepen, laughter spreads across a room, and shared experiences create lasting memories.
Events give people the space for this natural human synchronization to occur.

There is another principle that plays a powerful role in successful events:
What you focus on increases.
Perhaps you’ve heard this idea before. What you pay attention to grows.
When I design an event, I always begin by holding a vision for the experience I want guests to have.
That vision guides every decision that follows.
The experience I aim to create is simple but powerful:
- Guests feel welcomed
- Guests feel appreciated
- Guests feel taken care of
When people feel comfortable and valued, they naturally relax. And when they relax, connection becomes easy.
Suddenly conversations flow, laughter fills the room, and strangers become new friends.
The Guest Experience Is Everything
What People Actually Remember
The true success of an event is determined by the experience guests have.
That experience is what people will talk about afterward.
They may say:
- “That was so much fun.”
- “I felt incredibly inspired.”
- “I met the most interesting people.”
- “I didn’t want the night to end.”
Or sometimes—just like that nonprofit reception—they stay so engaged with each other that they don’t even notice the event is supposed to be over.

Every Detail Communicates Care
While the guest experience is the big picture I hold in mind, every detail in the planning process supports that vision.
Even small logistical elements contribute to the experience.
For example:
Ordering and placing directional signage at a conference may seem like a simple task. But those signs allow attendees to easily find their way to their next session without stress or confusion.
That small detail creates ease.
And ease helps guests remain present, relaxed, and open to connecting with others.
Caring for Everyone Involved
Guests, Vendors, and Staff
A successful event experience does not only apply to the guests.
It also includes the vendors and staff who help bring the event to life.
I always want vendors to know their products and services are appreciated and essential to the success of the event. The same is true for the staff working behind the scenes.
When everyone involved feels valued, respected, and supported, that positive energy spreads throughout the entire event.
And guests feel it.
Even if they can’t quite explain why.
When Science and Hospitality Work Together
At its heart, event design is both an art and a science.
The art comes from creating beauty, atmosphere, and memorable moments.
The science comes from understanding something deeply human:
People are wired for connection.
When events are designed with that understanding in mind—when intention, care, and thoughtful details support connection—something magical happens.
Conversations deepen.
Communities form.
And sometimes, guests stay two hours longer than anyone planned.
Because they simply don’t want to leave.
